Full-time; 12 month contract; 35 hours per week
Salary: $44,000 to $58,000 based on experience

About the Role
We are looking for an Accounting Administrative Clerk to join our team and provide administrative support to the agency’s teams. This position provides support to the Holocaust Survivor Services and Accounting Teams. This role serves as a key point of contact for vendors and assists with document management, data entry, and general administrative duties. This position includes direct service activities and administrative support duties, including client interaction, phone handling, and office maintenance.
Responsibilities:

Address and resolve vendor-related billing and payment concerns, including overcharges, undercharges, HST miscalculations, refunds, and cancellations.

Obtain necessary paperwork from vendors and scan/upload to appropriate client files in the case management system.

Identify files where receipts are required, collect receipts from clients, and scan/upload them into the case management system.

Pursue uncashed checks with clients and vendors.

Assist in resolving payment discrepancies and billing issues.

Maintain updated client demographic information on relevant databases.

Perform various administrative duties to support the Accounting Team.

Organize and maintain office records and files in their proper electronic and physical locations.

Assist with meeting coordination, including preparing agendas and recording minutes as needed.

Provide occasional backup support to reception as needed.
Qualifications:

Post-secondary degree/diploma in Office Administration, Business Administration, or related field (preferred but not required).

1-2 years of experience in an administrative role, preferably in a financial or accounting environment.

High proficiency in Microsoft Office Suite, especially Excel.

Experience with database systems and accounting software is a plus.

Strong attention to detail and organizational skills.

Comprehension of Russian will be considered a strong asset.

Experience in a non-profit setting is a plus.

Fluency in Russian is necessary, and Hebrew will be considered an asset.
